Position Summary

Provides clerical support to the Tribal finance department and CFO’s office. Mans the front reception desk, receiving and directing telephone calls, visitors, mail and packages.  Accepts and receipts payments.  Assists with electronic records management and filing for the department.

Supervision Exercised

Supervised by the Finance Director.

Major Duties And Responsibilities

  1. Route incoming visitors, phone calls and mail to appropriate parties.
  2. Take phone messages and route to appropriate staff.
  3. Accept payments from Tribal members and Pueblo department staff, preparing receipts and following established cash handling procedures.
  4. Scan financial records into the electronic records management system.
  5. Schedule meetings and reserve conference rooms.
  6. Accept packages and notify Tribal department staff.
  7. File finance department documents and box and prepare documents for storage.
  8. Type documents including minutes and service requests.
  9. Provide backup for tribal administration front desk.
  10. Perform additional duties and responsibilities as necessary or assigned.

Knowledge, Skills And Abilities

  1. Ability to operate general computerized office machines and equipment such as PC’s, printers, copy machine, adding machine, and telephone.
  2. Ability to deal courteously and effectively with the public and staff.
  3. Must have basic computer literacy with the ability to use Windows based software for email, word processing and spreadsheets.
  4. Knowledge of standard office procedures and filing systems.
  5. Ability to work independently and efficiently.
  6. Must be able to maintain absolute confidentiality regarding Pueblo financial transactions or any information regarding Pueblo of Sandia Tribal members.
  7. Must be flexible and be able to adapt to changing work assignments.

Minimum Qualifications, Education And Experience

Required

  1. High School Diploma, GED certification or equivalent.
  2. One (1) year of experience in general office and/or clerical duties.
  3. Must possess and maintain a valid, unrestricted New Mexico Driver’s License.

Licensing Status

  1. Must be able to successfully pass a background investigation.
  2. Will require a post-offer, pre-employment and random drug screening.

Working Conditions

  1. Work is performed indoors.
  2. Work hours subject to change with overtime work required.
  3. Subject to hazards which may cause personal bodily harm; smoke; diseases; cuts bruises, burns, common cold, influenza, dust, odors and elevated noise levels.
  4. Tasks may be performed on uneven, inclined, hard and soft carpeted floors, cement structures and surfaces.
  5. Duties may involve walking, standing for long periods of time, sitting and crouching.
  6. Specific required movements include the following:
    1. Trunk- bend, twist, rotate, push, pull, carry.
    2. Arms – reach, carry, lift, twist, and rotate.
    3. Legs – lift, push, pull, twist, and rotate.
    4. Hands – Grasp, manipulate bilateral coordination, hand and eye coordination, and overall and finger dexterity.
