Sr. Administrative Assistant, Office of the Tribal Council

Under the direction of the Supervisor, Executive Administration, the Senior Administrative Assistant – Office of the Tribal Council (OTC) provides advanced administrative and operational support to OTC, and OTC leadership while maintaining professionalism and discretion. This position uses independent judgement, organization, and proficiency of confidential administrative assignments to accomplish a variety of significant and complex administrative office tasks requiring sensitivity, initiative, and creativity.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.    Creates and prepares correspondence including memorandums, agendas, reports, letters, forms; develops meeting packages and presentations; compiles supporting materials and uploads documents for electronic presentations; and manages confidential and time sensitive information efficiently.2.    Coordinates and prioritizes departmental and confidential tribal documentation for scanning and retention; oversees imaging supplies and ensures compliance with document retention policies; assists with records management strategies including electronic storage and hard copy document lifecycle and disposal.3.    Supports, generates and analyzes financial information and reports; prepares and maintains spreadsheets, databases, reports, and statistical information; processes P-card expense reports, check requests and purchase orders; provides invoice and budget management; reconciles billing issues with vendors and Tribal Finance.4.    Is responsible for the preparation and assembly of confidential Tribal Mailer materials and ensures materials have been approved by OTC leadership; manages the processing of incoming and outgoing mail, including FedEx envelope preparation and delivery, postage handling, and maintenance of mailing accounts.  5.    Provides administrative and operational support to OTC and its leadership, including meeting preparation, scheduling appointments as appropriate, organizing programs, coordinating participation in events and/or conferences, arranging for facilities and catering, issuing information and invitations; orders office supplies for the department.  6.    Performs other duties as assigned to support the efficient operation of the department.

 EDUCATIONAL, EXPERIENCE AND QUALIFICATIONS

  • High School Diploma or GED required; some college course work in Business preferred.

  • Minimum four (4) years of progressive administrative support experience required.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Strong organizational and time management skills with the ability to prioritize tasks, manage multiple deadlines, and maintain accuracy in a fast-paced environment.

  • Proficiency in Microsoft Office software including Word, Excel, Outlook, and PowerPoint and document management systems.

  • Communication and interpersonal skills with the ability to interact professionally with leadership, internal staff, and external partners.

  • Knowledge of administrative procedures including calendaring, meeting coordination, travel arrangements, and confidential records handling.

  • Fast learner, detail oriented and self-starter.

  • Must be able to maintain confidentiality when working with private information such as social security numbers, credit card information, personal data or financial data from colleagues, personnel, or customers.

REQUIRED LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • Notary Public Commission certification required and/or the ability to obtain and renew a Notary Public Commission certification.

  • Select One of the Following for Driving Responsibilities: Driving Responsibilities: Role requires regular commuting between locations. A valid driver's license and vehicle insurance with minimum liability limits is required. Role will not operate or drive Tribe-owned vehicles or patron vehicles.

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS – ENVIRONMENT

The physical demands and working environment described here are representative of those that an employee encounters and must be met by an employee to successfully perform the essential functions of this job.

  • Primary work environment is in a climate-controlled office setting.

  • Work requires travel to attend meetings, trade shows, and conferences.

  • Incumbents may be required to work evening, weekend and holiday shifts.

  • Must be able to work in a fast-paced, high-demand environment.

  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.

  • Sedentary work: involves sitting most of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.

  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.

  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.

  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.

  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.

  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.

  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
