Under the direction of the Manager, Equipment Room, the Project Coordinator, Facilities holds responsibility for the successful execution of various projects from start to finish. This position supports department leadership by aligning oneself with the departmental vision and coordinating the creation, administration, compliance and completion of Facilities projects within Yaamava’ Resort & Casino. The Project Coordinator collaborates both internally and externally to ensure projects are executed timely and efficiently.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1.    Executes the successful completion of Facilities projects. Coordinates internal resources and third parties and/or vendors for flawless execution of each project submittal. Collaborates both internally and externally to guarantee efficient project completion by facilitating weekly status meeting and daily monitoring of project resources.  Creates, manages, and distributes project related reports, details, purchase orders and all required documentation necessary.2.    Develops and maintains project performance databases that track overall progress and the accomplishment of specific milestones via project management software (ex. Smart sheets and Excel). Establishes procedures and implements process improvement projects to support with efficient project coordination.

3.    Ensures all projects are on-time, within scope and within assigned budget. Regular meeting with Facilities Project Manager to review related reports, schedule status, and document logs (change orders, submittals, drawing, etc.).  Tracks projects through Smartsheet/Excel and or other tracking systems as needed to hold accountability of getting tasks completed.4.    Develops and maintains relationships with various Managers, Project Coordinators, Project Specialist, and stakeholders. Coordinate the implementation of document controls to new projects and priority on recordkeeping. Prepares and maintains electronic and/or hardcopy closeout files for the Facilities Department. Coordinator creates, reviews & revises standard operating procedures and written materials related to project operations.  Maintains a database of approved and in progress internal controls to ensure policies and procedures align with department guidelines5.    Performs other duties as assigned to support the efficient operation of the department.

 EDUCATIONAL, EXPERIENCE AND QUALIFICATIONS

  • Associates degree in a related field is required.

  • Bachelor’s degree in Business Administration or related field is preferred.

  • Minimum of two (2) years career experience working in project management required.

  • Related, relevant, and/or direct experience may be considered in lieu of minimum educational requirements indicated above.

KNOWLEDGE, SKILLS AND ABILITIES (KSA)

  • Experience working as project management assistant or related capacity is preferred.

  • Must maintain a strict level of confidentiality and act in a manner consistent with all legal and regulatory requirements and in compliance with relevant laws and regulations.

  • Must be personable and professional, capable of using caution and discretion in communication.

  • Must have excellent listening, written, and verbal communications skills.

  • Experience with event planning is preferred.

REQUIRED LICENSES, CERTIFICATIONS AND REGISTRATIONS

  • At the discretion of the San Manuel Tribal Gaming Commission, you may be required to obtain and maintain a gaming license.

  • Professional certifications such as a Project Management Professional (PMP) certification or a certification by the Association for Proposal Management Professional (APMP) is preferred.

  • Select One of the Following: Authorized Driver: Role requires operation or driving of Tribe-owned vehicles or driving patron vehicles. A valid driver’s license with an acceptable driving record as determined by the insurance carrier is required.

PHYSICAL REQUIREMENTS/ WORKING CONDITIONS – ENVIRONMENT

  • Primary work environment is in a climate-controlled office setting.

  • Work requires travel to attend meetings, trade shows, and conferences.

  • Incumbents may be required to work evening, weekend and holiday shifts.

  • Must be able to work in a fast-paced, high-demand environment.

  • Strength sufficient to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects and/or move up to 40 pounds occasionally.

  • Sedentary work: involves sitting some of the time. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

  • Physical activities that apply to the essential functions of the position are balancing, stooping, kneeling, crouching, reaching, pushing, pulling, lifting, grasping, talking, hearing, and repetitive motions.

  • Hearing sufficient to hear conversational levels in person, via videoconference and over the telephone.

  • Speech sufficient to make oneself heard and understood in person, in front of groups, in meetings, via videoconference and over the telephone.

  • Visual acuity that meets the requirements of the position: The worker is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; expansive reading and visual inspection of employees, visitors or facility.

  • Mobility sufficient to safely move in an office environment, walk, stoop, bend and kneel, and enter, exit and operate a motor vehicle in the course of travel to promotional events, meetings, conferences, trade shows and San Manuel properties.

  • Endurance sufficient to sit, walk and stand for extended periods, and maintain efficiency throughout the entire work shift and during extended work hours.

  • The employee may be exposed to fumes or airborne particles including secondhand smoke.
